Last updated October 15, 2026

The Running Directory is operated by Finlayconn Ventures Limited in Ontario, Canada. This policy explains what personal information we collect when you use therunningdirectory.ca, why we collect it, and what you can ask us to do with it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Who is responsible

Our privacy officer is Connor Finlayson. For any privacy question or request, email hello@therunningdirectory.ca.

What we collect

Information you give us:

  • your email address when you sign in or create an account;
  • profile details you choose to add to your account: your name, photo, home location, preferred distances and terrain, a Strava profile link, races you save, and your email notification choices;
  • your name, email address, message and the listing it's about when you use the contact form;
  • your email address, province and running interests when you join the newsletter;
  • race or club details you send us, including organizer contact details;
  • the email address of anyone you invite to a team.

Information collected automatically:

  • pages visited, approximate location, device and browser details, collected by Google Analytics through cookies;
  • technical details when an error happens on the site;
  • your IP address and browser signals, used by our hosting and bot checks to keep the site and forms secure.
  • your location, only if you choose Near me or Use my location. It is sent to our server to find races near you, and your browser remembers it on your device so nearby races show next time. We don't keep it on our servers unless you save it as your home location. Clearing your browser's site data removes it.

We don't take payments, and we don't ask for sensitive information such as health or financial details.

How we use it

  • to sign you in and run your account;
  • to reply to messages and handle listing corrections;
  • to research, publish and update race and club listings;
  • to send the newsletter if you signed up for it;
  • to understand which pages are useful, fix problems and keep the site secure.

We don't sell personal information, and we don't use it for advertising.

Cookies

We use a small number of cookies:

  • sign-in cookies that keep you signed in. The site needs these to work;
  • Google Analytics cookies that measure visits. You can block them in your browser settings or with Google's opt-out add-on, and the site will still work.

Services we use

We share personal information only with the service providers that help us run the site, and only for the purposes below. Each has its own privacy policy.

  • Supabase: Database and sign-in. Stores accounts, listings, form messages and newsletter sign-ups in Canada (Montréal region).
  • Vercel: Hosts the website and processes each page request.
  • Google Analytics: Measures which pages people visit and how the site performs, using cookies.
  • Google Maps: Shows venue maps embedded on some race pages.
  • Sentry: Error monitoring. When something breaks, it receives technical details about the error, such as the page, browser and device type.
  • Cloudflare Turnstile: Checks that forms are sent by a person and not a bot.
  • MailerSend: Sends sign-in codes and replies to your messages by email.
  • Slack: Notifies us when a form is sent, including your name, email address and message.
  • OpenFreeMap: Provides the map tiles on our race and run-club maps.

We may also disclose information when the law requires it.

Where your information is stored

Our database is hosted in Canada. Some of the services above, such as Vercel, Google, Sentry, MailerSend and Slack, may process information in the United States or other countries, where it can be subject to those countries' laws.

How long we keep it

We keep account details while your account is open, and messages and submissions for as long as we need them to handle your request and keep listings accurate. Newsletter details are kept until you unsubscribe. If you ask us to delete your information, we'll do so within 30 days unless the law requires us to keep it.

Your choices and rights

You can ask us to:

  • tell you what personal information we hold about you;
  • correct it;
  • delete it, including closing your account;
  • stop sending you the newsletter.

Email hello@therunningdirectory.caand we'll respond within 30 days. Residents of Quebec have these rights under Quebec's privacy law too. If you're not happy with our answer, you can contact the Office of the Privacy Commissioner of Canada.

Information in public listings

Race and club listings show public details about events, such as the organizer's name, website and public contact links. If you are named in a listing and want something changed or removed, use the contact form or email us.

Children

The site is not meant for children under 13, and we don't knowingly collect their personal information. Kids' race listings are about events, not about individual children.

Changes to this policy

If we change this policy, we'll update the date at the top of this page. For significant changes, we'll also let account holders know by email.
